Separate guest capacity from vehicle capacity

Send passenger and staff numbers together with a rooming list. CapeAura has six suites for up to 14 guests, or up to 18 with agreed extra single beds. SeaViu has seven rooms and a maximum of 16 guests. VistaBlu has seven bedrooms for up to 16, or up to 18 with two extra single beds by arrangement. Guide and driver accommodation must be included rather than added after the room allocation.

Vehicle suitability is a separate question. Provide the number, length and height of vehicles and details of trailers. CapeAura and VistaBlu publish front parking, but that does not confirm coach access, turning space, unloading room or overnight trailer parking. Obtain the arrangement for your particular vehicles.

Agree the arrival sequence

A useful pre-arrival message gives the expected arrival window, an operator contact, the property address and a plan for changes on the road. Ask the team to confirm check-in instructions, access and where passengers and luggage should be received. If the vehicle needs a different parking location or a smaller transfer, those arrangements should be agreed before departure for the house.

Consider the group's first evening as well. CapeAura's quiet hours are 9pm–9am, including exclusive stays. Confirm any late arrival directly. Keep the city day workable for the group

A Cape Town stop does not need to become another tightly packed touring day. Offer a manageable choice between a rest period and a confirmed outing, with transport and meeting points clear. If a mountain outing is planned, check the Cableway's official weather and operational information before dispatching the group. Bad weather can close the service, so keep an alternative and avoid relying on an assumed return time. Guesthouse availability and attraction access are separate parts of the plan.

Confirm the booking as an operator

Ask for a quote that identifies the property, allocated rooms, guest numbers, agreed extra beds and any transport requested. Confirm payment and cancellation terms, and request any trade arrangement directly. Hosting a gathering or bringing outside visitors needs its own approval, even with exclusive accommodation.
